Intake form essentials

Every brief should capture:

  • campaign or initiative,
  • deliverable type,
  • format and dimensions,
  • target channel,
  • due date,
  • stakeholder approver, and
  • whether existing DAM assets should be used as a starting point.

Anything submitted without these fields goes back, without exceptions.

Chapter 4

Brand Management & Governance

A DAM is only as useful as its taxonomy. Assets that can’t be found might as well not exist. These are the governance decisions that need to be made and documented before any serious volume enters the DAM.

  • Metadata schema: define required vs. optional fields. Minimum: asset type, campaign, channel, brand, creation date, expiry date, rights status.
  • Folder structure: organize by brand → campaign → asset type, or by channel. Pick one and enforce it; mixed structures break search.
  • Naming conventions: BrandCode_Campaign_AssetType_Dimensions_Version, applied at production, not on upload. Make it machine-readable.
  • Access & permissions: role-based: admins, contributors (creative team), viewers (sales, agencies), and portals for external partners.
  • Rights & expiry: talent usage rights, license windows, and regulatory holds tracked in metadata, with MediaValet flagging and expiring assets automatically.
  • Archive cadence: quarterly reviews to move expired or superseded assets to archive. Active library stays clean; nothing gets deleted without sign-off.
  • Staging folder protocol: WIPs and in-review assets live in a staging folder, not the main library. Only approved assets get promoted to the live collection.
